Manager, Events (Part-Time)

Manager, Events (PT)

Do you love startups and innovation in general? Do you have exceptional organizational skills and event planning experience?

We are a dynamic non-profit startup working at the intersection of entrepreneurship and innovation, and we are seeking a Part-Time Events Manager. Reporting to the Director of Venture Café Kendall, this new team member will assist in all areas of event planning and management for a weekly mini-conference that attracts tens of thousands of attendees annually.
Responsibilities:
  • Help drive content planning for themed and conference events.
  • Oversee speaker recruitment. Communicate with programming partners, speakers, and sponsoring organization to plan the scope and format of sessions and to convey procedures, event timeline, and post-event assessments. As the face of Venture Café, this responsibility includes communicating the philosophy of Venture Café and the parameters of hosting sessions on the Venture Café platform.
  • Manage end-to-end event logistics (pre-event, onsite-logistics, and post-event) for a variety of session types (roundtables, panels, presentations, hackathons, alliance events, etc.).
  • Manage event volunteers.
  • Monitor event activities to ensure compliance with our guidelines, satisfaction of participants, and resolution of any problems that arise.
  • Conduct post-event evaluations to determine how future events could be improved.
  • Maintain records and event performance metrics to inform decision-making.
  • Support event marketing including digital and social media tactics.
Qualifications:
Knowledge:
  • Bachelor’s Degree (Marketing, Event Planning, Project Management knowledge strongly preferred).
  • Knowledge of meeting, events, and sponsorship management principles.
  • Familiarity with Boston’s entrepreneurship – innovation ecosystem is preferred.
 Skills:
  • Skilled in event planning and management tools.
  • Exceptional organizational, project management, and time-management skills.
  • Skill in making effective and timely decisions.
  
Abilities:
  • We are looking for a professional with prior hands-on experience with conference, meeting or event planning.
  • A minimum of 3-5 years of experience in conference, meeting or event management including onsite logistics experience and speaker engagement.
  • Ability to effectively communicate both verbal and written thoughts, ideas, and facts.
  • Ability to work in a fast-paced, entrepreneurial environment.
  • Ability to work with all forms of technology.
  • Ability to work cooperatively with others and demonstrates professional, ethical, respectful, and courteous behavior when interacting with others.
  • Ability to interact pleasantly and positively with others to meet customer expectations, and provide follow up with customers.
  • Ability to work after hours for our weekly event held on Thursdays.

Manager, Volunteer Programs (Volunteer Role)

Venture Café Kendall is a non-profit startup founded as a social experiment to connect with like-minded entrepreneurs. We have grown into a global network of sites designed to forge relationships within innovation communities. Venture Café Kendall is now an essential stop for entrepreneurs and innovators who have open access to office hours, conference-style workshops, startup demos, information tables and a variety of networking opportunities weekly.

With our growth, we have a need to expand our volunteer program and we are looking for experienced, innovation enthusiasts like you to help shape this new phase of our evolution. As an experienced volunteer, you will help create and operate programming that helps entrepreneurs build and grow their ventures. 

Under this expanded program, you have an opportunity to be involved at the event level, on a project basis or take on a consistent role with Venture Café Foundation. Some of the areas where you could broaden your skills or practice your management skills include volunteer management, media, photography, event planning, design, web development, marketing, and more.

Events Programming Intern

Venture Café Kendall is seeking an intern to assist with the coordination of over 200 sessions, as well as other event production and logistics. This team member will be responsible for weekly projects, including helping with event signage, speaker information, data entry, event logistics and administrative tasks related to event management. This position will gain a wide spectrum of experience in the production of Venture Café events.

As a Venture Café intern, you will learn:

  • Communication skills necessary to manage event participants
  • Content planning and onsite logistics of events
  • Critical thinking skills and problem solving
  • Exceptional organizational skills

Candidates should:

  • Currently enrolled in a degree program
  • Have an interest in event planning and management
  • Be highly organized
  • Have excellent leadership qualities
  • Be able to work within diverse team
  • Possess exceptional customer service skills
  • Demonstrate good communication skills (email, phone and conversation)
  • Show a strong attention to detail
  • Have time-management skills
  • Be comfortable working in and with large groups of people
  • Have knowledge of Mac computers and Google Apps

Availability

A time commitment of 10-15 hours a week with availability during our weekly events held on Thursdays from 2-8PM.

Digital Marketing Intern

Venture Café Kendall is seeking an intern to assist with digital marketing, data collection/analysis, marketing automation, and PR. In this role, the candidate will participate in brainstorming marketing tactics, writing and scheduling social posts, marketing distribution and campaign analytics.  The role will also involve data entry and administrative tasks related to marketing. This position will gain a wide spectrum of experience in the marketing of Venture Café programs.

Responsibilities for this position include

  • Assist with collecting and organizing marketing data
  • Maintain email marketing analytics and record weekly data
  • Assist with a broad array of social media marketing tactics
  • Assist with survey research, creation and delivery
  • Assist with the execution of public relations tactics

Required Skills

  • Enrollment in a degree program, preferable Marketing
  • Strong communicator
  • Proficient in Microsoft Office and Google Drive
  • Advanced Microsoft Excel abilities
  • Ability to prioritize time-sensitive assignments
  • Fast, efficient, and accurate data entry skills
